Facility Reservation Policy
The Community Building , High Forrest Room, Gym and Park Avenue Building may be reserved by calling the Memorial Park Office at (931) 796-3846. A Reservation fee shall be charged and payable along with the signing of a rental agreement, before the requested date can be reserved. Buildings can be used by the public free of charge anytime they are not reserved.
Reservation charges for non-profit organizations or for charitable events will be reviewed on a case by case base to determine if a charge will apply. However, the rental agreement must still be completed and signed.
Reservation Fees
Community Building will be $35 for four hours.
Gym will be $20 for four hours.
Park Avenue Building will be $20 for four hours.
High Forrest Room will be $20 for four hours.
Picnic pavilions at Memorial Park may be used at anytime free of charge on a first-come, first served basis. However, if you would like to ensure availability for your event, pavilions can be reserved by paying a reservation fee of $5 per reservation.
Reservation Procedures/Cancellation/Rainouts
The Memorial Park Office will collect all fees and necessary paperwork prior to park building or pavilion use. Failure to pay fees or submit all required paperwork will result in the denial of the request. Because certain events beyond our control are unforeseeable, Memorial Park reserves the right to cancel reservations or revoke a special event permit without cause and without notice. If this occurs, the rental group will receive a refund. Leisure use of the park's open space and non-posted fields does not require a reservation. Please be aware that permitted use of playing fields or open space supersedes leisurely use by a group or individual. Therefore, a reservation/permit is required to assure availability.
Refunds will be made if cancelled, in writing, seven (7) days prior to the scheduled date; a 10% administrative fee will be retained. If event is cancelled due to rain and the event never started, the entire fee will be refunded.
Building Cleanup
The reserving organization is responsible for clean-up of building. If building is not cleaned up you will be charged an additional fee for clean-up.
Maintenance Fees
Additional fees will be assessed for any custodial, maintenance or grounds work that is required outside of the regular working hours (i.e., weekends and evenings). These fees will be pre-paid at the time the permit is issued.
Miscellaneous Fees
Additional fees not listed may be charged to you for your Park/Pavilion/Field Usage for special services or maintenance.
Unpaid Fees/Costs
Any unpaid fees or costs billed to the reserving organization will result in legal actions and may disqualify the reserving organization from any future reservations until the amounts are paid.
Credit for Cash or In-kind Donations
Credit toward the above fees may be given at the discretion of the Lewis County Conservation Board, in whole or in part, for any cash or in-kind donations made directly to Memorial Park.
Field Use Fees
The following fees only apply to individuals who wish to rent fields for tournament usage. This fee does not apply to any of the local sports organizations that operate within Memorial Park.
Field use fees will be assessed for single field reservations and tournament site use. The standard rate for rental of fields for tournaments will be $10 per team.
A Ball-field Usage Agreement must be completed and returned, for approval by the Lewis County Conservation Board, thirty (30) days prior to tournament. Concessions cannot be sold without written approval of the Lewis County Conservation Board. Tournament Directors are responsible for dugout and spectator area cleanliness.
Certificate of Insurance
Some Park/Pavilion/Field Users may be required to provide a certificate of general liability insurance with per-occurrence and aggregate limits of not less than $1,000,000. Memorial Park must be shown as the additional insured.
Indemnification and Hold Harmless
In addition to the above-mentioned insurance requirements, event organizers will be required to sign a form that will indemnify and hold harmless Memorial Park, Lewis County Government, City of Hohenwald and The Conservation Board.
